clarity-bot.com ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Clarity Bot Slack application and related services (collectively, the "Service").

1. Information We Collect
To provide and improve our Service, we collect several different types of information:
- Workspace Information: When you install Clarity Bot into your Slack workspace, we collect basic identifying information, such as your workspace ID, name, and domain.
- User Information: We collect your Slack User ID and name to identify you as an authorized user and to communicate with you within the Service.
- Customer Data: To perform its core functions, Clarity Bot processes the content you make available to it. This includes the text from messages in channels where the bot is a member, the content of uploaded files (e.g., PDFs, documents), and the audio data from meeting recordings submitted for transcription. This "Customer Data" is the foundation of your project's knowledge base.
- Payment Information: When you purchase a subscription (like the "Founders' Circle" offer), your payment details are collected and processed directly by our secure third-party payment processor (e.g., Polar, Stripe). We do not collect or store your credit card information on our servers.
2. How We Use Your Information
We use the information we collect for the following purposes:
- To Provide and Maintain the Service: Your Customer Data is used to power the core features of Clarity Bot, such as building the project "brain," generating summaries, transcribing audio, and answering your questions.
- To Communicate With You: We use your user information to send important service-related notices, updates, security alerts, and support messages.
- For Billing and Account Management: To process subscription payments and manage your account.
- To Enforce Our Terms and Policies: To maintain the security and integrity of our Service and prevent misuse.
- For Aggregated Analytics: We may use anonymized and aggregated data (which cannot be used to identify you or your workspace) to analyze usage trends and improve the overall performance and functionality of the Service. We will never use your specific Customer Data to improve our service for other customers.
3. Data Sharing and Disclosure
We are not in the business of selling your data. We will only share your information with trusted third-party service providers ("Sub-processors") who help us operate the Service. These include:
- AI Service Providers (e.g., Google, OpenAI): We send relevant Customer Data to these partners to perform specific tasks like transcription, summarization, and generating answers to your questions. We use their enterprise-grade APIs, and we have verified that their policies prohibit them from using your Customer Data to train their general AI models.
- Cloud Infrastructure Providers (e.g., Vercel, Supabase, Google Cloud): Your Customer Data is securely stored and processed within the infrastructure of our cloud partners.
- Payment Processors: To securely handle your subscription payments.
We may also disclose your information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect and defend our rights or property, or protect the personal safety of users of the Service or the public.
4. Cookie Policy
We use cookies only in connection with Google Analytics to understand website traffic, and with Polar.sh for payment integration. These cookies help us improve the Service experience. We do not use cookies for any advertising or tracking beyond what is strictly necessary for analytics and payment processing, and we do not collect any other cookie data. You can disable cookies in your browser settings, though some analytics features may be limited.
5. Data Security and Retention
We implement robust technical and organizational measures designed to protect the security of your information. This includes:
- Encryption: All data is encrypted both in transit (using TLS) and at rest.
- Data Isolation: Your workspace's data is logically and securely isolated from all other workspaces using strict Row Level Security (RLS) policies in our database.
- Access Control: Access to Customer Data is strictly limited to authorized personnel who require it to perform their job functions in providing and supporting the Service.
We retain your Customer Data for as long as your subscription is active. If you choose to uninstall the Clarity Bot app from your Slack workspace, we will permanently delete all of your associated Customer Data from our systems within a 30-day period.
6. Your Rights and Choices
You have rights regarding your personal information. As the data controller of the content within your Slack workspace, you have the ability to manage your Customer Data directly within Slack (e.g., by deleting messages or files). You can also request the deletion of your entire workspace's data by uninstalling the app.
7. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on our website. If we make material changes, we will provide a more prominent notice, such as through an email or a notification within the Service.
